Privacy Policy

This Privacy Policy describes how StrataVoter collects, uses, safeguards, stores, and retains personal information used in election setup, voting, progress tracking, and audit workflows.
Information we collect
Depending on how the platform is used, StrataVoter may process information such as unit identifiers, legal unit numbers, election configuration details, voting-link lifecycle data, participation status, administrator authentication details, and technical records necessary to operate, secure, and audit the service.
StrataVoter is designed so that ballot selections are stored separately from unit identity. The platform may record that an eligible unit voted for quorum, audit, and election-administration purposes, but it is not designed to store a permanent identity-to-ballot relationship.
How we use information
We use personal information only as reasonably necessary to provide and secure the service, administer elections, validate voting eligibility, prevent misuse, maintain auditability, generate results, comply with applicable legal obligations, and support troubleshooting and system integrity.
We do not use ballot data to profile voters, and we do not intentionally process election information for unrelated marketing purposes.
Disclosure and service providers
StrataVoter may use infrastructure, delivery, or technical service providers to support operation of the application interface, communications, hosting, monitoring, or related security functions. Such providers are engaged only to the extent reasonably necessary to operate the platform and are not authorized to use the underlying election data for their own independent purposes.
Where parts of the interface are accelerated through third-party delivery infrastructure, the underlying voting data and personal information remain subject to the residency and storage controls described below.
Storage, safeguards, and Canadian data residency
All personal information collected through this platform is encrypted in transit using industry-standard TLS and encrypted at rest within our secure infrastructure. All data is stored exclusively in a Toronto, Ontario, Canada data centre and does not leave Canadian jurisdiction. While portions of the application interface may be delivered through global content delivery networks to improve performance, the underlying voting data and personal information remain stored solely in Toronto at all times.
We maintain administrative, technical, and physical safeguards appropriate to the sensitivity of the information processed through the platform. These safeguards are intended to protect against unauthorized access, loss, misuse, disclosure, alteration, and destruction.
Election privacy model
StrataVoter records whether an eligible unit has voted for quorum and audit purposes, but ballot selections are stored separately from unit identity.
This separation is designed to preserve ballot secrecy while still allowing administrators and scrutineers to confirm eligibility, participation, and final counts.
Retention and deletion
Election data retention is configurable per election and defaults to 90 days after closure. After the configured retention period expires, election records are purged except where a longer retention obligation applies.
We may retain limited technical, security, or compliance records for longer where reasonably required to investigate abuse, protect the service, satisfy legal obligations, enforce platform integrity, or respond to disputes or regulatory inquiries.
Access, corrections, and privacy requests
Individuals or organizations with questions about personal information processed through StrataVoter, or who wish to request access, correction, or further information about privacy practices, should contact the organization administering the election in the first instance or contact StrataVoter through the appropriate support or privacy contact channel made available for the deployment.
We may update this Privacy Policy from time to time to reflect operational, legal, or technical changes. The most current version will be published on this page with an updated effective date.
