Commercial online voting for condo communities

Transparent Elections. Private Votes. Instant Results.

StrataVoter helps boards run compliant, anonymous votes with live quorum tracking, simple setup, and zero registration friction.

Transparent Elections

Everyone can follow the voting progress in real time through a shared, read-only results page that shows participation and totals as they update - giving the entire community full visibility into the process without revealing how anyone voted.

Private Votes

Each unit receives a unique, secure voting link that ensures only authorized owners can vote, while keeping every ballot completely anonymous. The system records that a unit voted, but never how they voted. The actual votes go into a separate, anonymous pool that cannot be traced back to any unit or person.

Instant Results

The moment all eligible units have voted - or the voting window closes - results are calculated automatically and displayed immediately, with no manual counting, no delays, and no room for error.

Product features

Everything a board or property manager needs to run a compliant, auditable, anonymous condominium election β€” without accounts, software installs, or per-unit fees.

Election setup

  • Visual floor builder β€” define floors, units per floor, and custom unit numbering formats floor by floor.
  • Unit exclusion and inverse mode β€” click to mark ineligible units, or flip to inverse mode and mark eligible units instead.
  • Proxy vote configuration β€” designate a count of proxy units; proxies receive a link and vote on behalf of the represented unit.
  • Validation mode β€” choose Unit only, Legal Unit only, or Both for voter identity confirmation at ballot time.
  • Legal unit numbers β€” assign and edit legal unit identifiers inline on each row before or after creation.
  • Election name and question β€” separate configurable fields so the displayed name differs from the ballot question where needed.
  • Multi-seat elections β€” configure the number of seats to fill; voters select exactly that many candidates.
  • Abstain option β€” units may submit an abstain ballot without selecting any candidate.
  • Voting duration β€” configurable window in minutes; election closes automatically when time expires.
  • Quorum percentage β€” set the required participation threshold for quorum achievement.
  • Configurable data retention β€” set post-closure retention from 0 (immediate purge) to N days (default 90).

Link management

  • Unique per-unit voting links β€” one secure, one-time URL generated per eligible unit at election creation.
  • Link lifecycle states β€” each link tracks Created β†’ Sent β†’ Opened β†’ Cast in real time, visible in setup and audit.
  • Mark Sent β€” manually mark links as distributed; status is reflected across setup and audit views.
  • Token regeneration β€” regenerate a unit's link with Admin Secret; the old token is immediately invalidated.
  • CSV export β€” copy all unit links as a formatted CSV for bulk distribution.
  • Email delivery β€” when a Sender email provider is configured, send links directly from the setup table per unit.
  • URL copy modal β€” individual link copy with a dedicated modal showing the full URL.

Live monitoring and real-time updates

  • Live progress page β€” shareable, read-only URL showing units voted, total units, quorum progress, attendance including proxies, and proxy vote count.
  • Server-Sent Events (SSE) β€” zero-polling real-time updates; the setup page reflects votes cast instantly without page refresh.
  • Auto-close detection β€” setup page detects closure from any cause (time expiry, all voted, admin stop) via SSE and updates status immediately.
  • Pre-election overlay with stats β€” progress page shows live stats and quorum status in an overlay before voting starts, so boards can monitor registration totals early.
  • Quorum achieved indicator β€” prominent live panel on the progress page shows quorum status with a visual change once threshold is crossed.
  • Election timestamps β€” setup card always displays Created, Started, and Closed datetimes in the local timezone.

Admin and audit

  • Admin Secret authentication β€” scrypt-hashed secret required for audit access, link regeneration, and election stop; rate-limited against brute force.
  • Audit / Recount page β€” full link lifecycle table per unit, timestamps, vote count, tally lock state, and final candidate results.
  • Tally lock β€” final results are locked when election closes and displayed immutably in the audit view.
  • Stop Election control β€” admin can stop the election at any time; closure state propagates in real time to all connected views.
  • Reproducibility export β€” export cryptographic ballot artifacts for independent verification.
  • Beta access gating β€” optionally restrict setup access to users with a valid access code.

Privacy, security, and compliance

  • Anonymous ballot separation β€” ballot choices are stored in a separate table with no unit identifier; participation is recorded independently.
  • TLS encryption in transit β€” all data encrypted end-to-end using industry-standard TLS.
  • Encryption at rest β€” data encrypted within secure infrastructure.
  • Canadian data residency β€” all personal information and voting data stored exclusively in Toronto, Ontario; never leaves Canadian jurisdiction.
  • 90-day retention compliance β€” default retention aligns with Ontario Condominium Act O. Reg. 48/01 requirements; configurable per election.
  • Automatic data purge β€” election records are purged after the configured retention window expires.
  • HTTPS URL generation β€” platform auto-generates HTTPS voting and progress URLs for all non-localhost deployments.
  • Security headers β€” X-Frame-Options, Content-Security-Policy, Permissions-Policy, Referrer-Policy, and HSTS applied on every response.

User experience

  • No account or registration required β€” units vote via secure link, no login needed.
  • Light / Dark / Auto theme β€” three display modes; preference is persisted across sessions.
  • Mobile-friendly responsive design β€” all pages usable on phones and tablets.
  • Scrutineer-ready AGM minutes wording β€” ready-to-use language for formal meeting minutes available on the homepage and in docs.

Platform policy statement - Voter participation visibility

Our voting platform records which units have cast a ballot, but never how they voted.

To comply with Ontario condominium governance standards and secret-ballot requirements, the system maintains two fully separated data layers:

The platform may display a list of units that participated in the election, as this is permitted under the Condominium Act and is necessary for verifying quorum and eligibility.

At no time does the platform store, reveal, or allow reconstruction of how any unit voted. This design ensures full transparency in participation while preserving the secrecy and integrity of the ballot.

Scrutineer-ready AGM minutes wording

The scrutineers confirmed that the voting system recorded which units cast a ballot for quorum and eligibility purposes. No information identifying how any unit voted was available or accessible.

The scrutineers verified that:

All ballots were anonymous, and the voting system kept voter identity completely separate from ballot contents. The scrutineers confirmed that the secrecy of the vote was fully preserved.

Privacy, anonymity, and 90-day retention compliance

Votes are fully anonymous. Unit participation is recorded separately from ballot choices, and links between those systems are temporary and automatically expired.

Condo Act references (Ontario):

β€œAll ballots or instruments appointing a proxy for a meeting of owners ... including ... any record of votes cast through telephonic or electronic means ...” β€” Condominium Act, 1998, s.55(1), para.10
β€œFor a record described in paragraph 10 of subsection 55 (1) of the Act, at least 90 days following the date of the meeting ...” β€” O. Reg. 48/01, s.13.1(2), para.3

StrataVoter policy: each election can define a post-closure retention period (default 90 days), after which election records are purged except where litigation-hold obligations apply.
