StrataVoter does not require accounts or credit cards, which helps preserve maximum privacy and anonymity; however, this also means each building's voting setup must be recreated for every election. We are currently evaluating the best balance between effortless setup and absolute voter privacy, and a future optional account feature for Property Managers may streamline unit setup while maintaining strong privacy protections.

To comply with Ontario condominium governance standards and secret-ballot requirements, the system maintains two fully separated data layers:
A participation record that shows whether a unit voted, for quorum and audit purposes.
A ballot record that contains anonymized, encrypted votes with no link to any unit or voter.
The platform may display a list of units that participated in the election, as this is permitted under the Condominium Act and is necessary for verifying quorum and eligibility.
At no time does the platform store, reveal, or allow reconstruction of how any unit voted. This design ensures full transparency in participation while preserving the secrecy and integrity of the ballot.
Scrutineer-ready AGM minutes wording
The scrutineers confirmed that the voting system recorded which units cast a ballot for quorum and eligibility purposes. No information identifying how any unit voted was available or accessible.
The scrutineers verified that:
The list of units that voted matched the corporation's eligibility list.
Each unit was permitted to vote only once.
No duplicate or invalid ballots were counted.
All ballots were anonymous, and the voting system kept voter identity completely separate from ballot contents. The scrutineers confirmed that the secrecy of the vote was fully preserved.
Privacy, anonymity, and 90-day retention compliance
Votes are fully anonymous. Unit participation is recorded separately from ballot choices, and links between those systems are temporary and automatically expired.

StrataVoter policy: each election can define a post-closure retention period (default 90 days), after which election records are purged except where litigation-hold obligations apply.
